The Only Cover Letter Structure You Need
Every example here follows the same three paragraphs, because that structure survives contact with a recruiter who is skimming. Anything longer stops being read, and anything shorter usually fails to make an argument.
- The role, and why you are credible. Name the exact job title and where you saw it, then one line establishing you already do this work.
- One achievement, with a number. Not a summary of your resume — the single most relevant result, with a figure attached.
- Why this employer, then stop. One genuine, specific reason. If you cannot find one, that is worth noticing before you apply.
What to leave out
- "To Whom It May Concern" — reads as a mass mailing. Find a name, or use "Dear Hiring Manager". Purdue University's job search writing guide covers the conventions in more depth.
- A restatement of your resume. They already have it. The letter adds context a list cannot carry.
- Everything you want from the job. The letter is about what they get.
- The previous employer's name. Reusing a letter and leaving the old company in it is the most common fatal typo in job applications.
Do you even need one?
If the application asks for a cover letter, always include one — incomplete applications are frequently filtered before anyone reads them. When it is genuinely optional, it still earns its place for competitive roles, career changes and employment gaps, which are exactly the situations a resume alone handles badly.

Cover Letter Questions
Are these real cover letters?
They are realistic worked examples written for each role, not copies of anyone's actual letter. Names and employers are fictional. What is real is the structure, the tone and the kind of achievement that field expects to see, which is the part worth learning from.
Can I copy one of these letters word for word?
Please do not. Recruiters read the same recycled phrasing every day and spot it immediately, and a letter describing work you did not do collapses in the first interview. Copy the shape of the three paragraphs, then fill them with your own role, your own achievement and your own reason for wanting the job.
How long should a cover letter be?
Three short paragraphs, roughly 250 to 350 words, on one page. Recruiters skim cover letters in seconds, so length works against you. If three paragraphs feel too tight, the problem is usually focus rather than space — pick your single strongest relevant achievement and drop the rest.
Do I need to write a new letter for every application?
Keep the structure, rewrite the specifics. The opening line and the closing can carry across almost unchanged, but the achievement you lead with and your reason for wanting that particular employer should change every time. A letter that could be sent to anyone reads exactly like one that was.
Who should I address it to?
Use a real name whenever you can find one — the job posting, the company LinkedIn page or the team page usually turns one up in a minute. "Dear Hiring Manager" is a perfectly acceptable fallback. Avoid "To Whom It May Concern", which signals a mass mailing before the first paragraph starts.
Should the letter be a separate file or the body of the email?
Follow whatever the application asks for. When you are emailing a person directly, put the letter in the body of the email and attach the resume — one less file to open. When you are uploading to a portal, attach it as a PDF with a clear filename such as firstname-lastname-cover-letter.pdf.
What if I have an employment gap or I am changing careers?
The cover letter is the right place for it, and the resume is not. One honest, unapologetic sentence explaining the gap or the switch, then move straight on to why your experience transfers. Leaving it unexplained invites the reader to guess, and the guess is rarely generous.
