Paragraph one: the venue, the role and your availability
Say which venue and which role, then the service style and volume you are used to, then your availability. Managers hire for the shifts they cannot cover, so availability stated early works in your favour more than it does in any other field.
Paragraph two: volume, and one thing you fixed
Name the covers, rooms or transactions you are used to, then one problem you solved β a section you ran alone, a shift you covered, a cost you cut, a new starter you trained. That is what tells a manager you will be useful in week one.
What this field is judging behind the words
Catering staffing is event-driven and largely on-call, so companies keep a roster and hire in before wedding and holiday seasons. The interview is short and practical: can you lift, do you have black service clothes, do you drive, are you free on Saturdays. Many companies start you on breakdown crew and move you to service once you have shown up reliably. Event staffing agencies are a common route into direct hire with a caterer.
Paragraph three: why this employer
This is where most letters fail. "I admire your commitment to excellence" could be sent to anyone. Name something real β a product, a recent announcement, how the team works, the venue itself, its menu or its clientele β and connect it to your own experience. If you genuinely cannot find anything specific to say, that is worth noticing before you apply.
Mistakes that cost catering server candidates
- Writing it as banquet service in a hotel, which skips the setup, transport and no-kitchen realities
- Not mentioning load-in, breakdown or driving, which is what catering managers most need cover for
- Leaving out food-holding practice, since off-premise events are where temperature control usually fails
Those are resume mistakes, but they apply to the letter for the same reason: both documents are read by someone deciding quickly whether you understand the job.

A food handler card is required in many states and counties, and off-premise catering is inspected on temperature control as strictly as any kitchen. Where alcohol is served the state seller or server certification applies, and in Texas that means TABC certification specifically. Some venues also require their own briefing before crews work on site. A valid driving licence matters where crews move the load.
