Dr. Reyes
Principal
Ellsworth Public Schools

Dear Dr. Reyes,

I am applying for the Long-Term Substitute Teacher position at Ellsworth Public Schools. I have several years in this field, currently as Long-Term Substitute Teacher (Secondary Science), and the level and student population in your posting are the ones I work with now.

The outcome I would point to first is that I held five sections of Biology and Chemistry for a full semester covering a medical leave, including all planning and laboratory work. My daily practice centres on Full Instructional Handover, Unit Planning Continuation and Grading and Gradebook Management, which lines up with what this position asks for. I have attached my resume, which sets out the rest in the same terms.

[Add one genuine, specific reason you want to work at Ellsworth Public Schools β€” a programme the school runs, or the community it serves. One real sentence beats a paragraph of praise.] I would welcome the chance to talk about where I could be most useful.

Thank you for your time and consideration. I would be glad to teach a demonstration lesson.

Sincerely,Karen Nakashima

Adapting this for a long-term substitute teacher application

Paragraph one: certification area and level

Name the position, the school, and your certification area and grade band. Districts run multiple vacancies at once and the letter is often read next to the application form, so being specific about which vacancy you mean prevents your file being read against the wrong one.

Paragraph two: one thing students achieved

Pick a measurable student outcome or a programme you built, and give the cohort size. Panels are looking for evidence that your practice changes results rather than a description of your teaching style, which they will ask about in person anyway.

What this field is judging behind the words

Long-term assignments are usually offered to substitutes already known and trusted in the building, so day cover is the audition. Principals decide quickly, often mid-term when a leave is confirmed, and will ask whether you can hold the existing pacing rather than restart the course. Expect questions on grading, on parents who did not choose you, and on how you will hand the class back to its teacher.

Paragraph three: why this employer

This is where most letters fail. "I admire your commitment to excellence" could be sent to anyone. Name something real β€” a product, a recent announcement, how the team works, a programme the school runs or a community it serves β€” and connect it to your own experience. If you genuinely cannot find anything specific to say, that is worth noticing before you apply.

Mistakes that cost long-term substitute teacher candidates

  • Listing assignments without dates, so a principal cannot tell a two-day job from a semester
  • Describing yourself as following plans when you actually wrote, taught and graded them
  • Leaving out the licence or permit type, which differs by state and controls how long you may cover a class

Those are resume mistakes, but they apply to the letter for the same reason: both documents are read by someone deciding quickly whether you understand the job.

What this role needs on paper

Substitute requirements vary widely by state, from a full teaching licence to a restricted substitute permit, an emergency authorisation or in some places a bachelors degree alone. Many states cap how long a substitute may hold one assignment without full certification in that subject, which is why assignment length and licence type belong together. Background clearance must be current.

Where this leads if you get it

Day substitute to long-term assignments, then a contracted post in a building that already knows you, which is the most common route in. Completing full certification is what converts the work into a career.

Before you send it

Reread for the previous school's name β€” reusing a letter and leaving the old district in it is the most common fatal error in education applications. Check that your certification area is written exactly as the state writes it. Then run the resume through our free ATS checker, since most districts screen through an applicant system.

FAQ

Long-Term Substitute Teacher Cover Letter Questions

What should a long-term substitute teacher cover letter say?

Three paragraphs: the position and your certification area and grade band, one measurable student outcome with the cohort size, and a specific reason you want this school. In education the letter is often the first writing sample a panel sees, so the writing itself is being assessed.

Do employers hiring long-term substitute teachers actually read cover letters?

Yes, more than in most fields. Panels and committees frequently read the letter alongside the application, and in education it is often the first writing sample they see from you. It is the place to explain a setting change or a gap that the resume shows but cannot account for.

What does this field want to see in the letter?

Assignment lengths held and whether you planned, graded and reported. Say it in the first two lines rather than saving it for the second page.

Should I repeat my resume in the letter?

No. Use it to explain what the application form cannot: why this school, why this grade band, and what you would bring to the department beyond your own classroom.

Should I mention my licence or certifications in the letter?

Yes, in the first paragraph.

How long should it be?

Roughly 250 to 350 words on one page. The three-paragraph discipline forces you to lead with what matters instead of restating the resume.

Can I copy this example?

Use the structure and the job each paragraph does, but write your own content. The employer and candidate here are fictional, and a letter describing work you did not do will not survive an interview.
