You know roughly how many servings you want to provide; what you have to buy is cans, bottles, cartons and bags of ice, each of which holds an awkward number of servings. What This Party Drink Calculator Does
Enter the guest count, how long the event runs, and the servings-per-guest-per-hour figure you want to plan on. Split those servings across beer, wine, spirits and non-alcoholic drinks by percentage, and the tool converts each share into containers using standard serving sizes and real bottle volumes. It rounds up, because you cannot buy two thirds of a bottle, and it adds whatever spare margin you specify.
Three outputs matter beyond the obvious ones. Mixers are calculated from the spirit servings and your chosen pour of mixer per drink, then converted into two-litre bottles. Ice is calculated per guest rather than per drink, because most of it goes into chilling tubs rather than glasses. And the non-alcoholic line is a first-class part of the model rather than a rounding error, since a meaningful share of guests at any event are driving, are not drinking, or simply want water.

How to Use It
- Enter guests and hours. Use the realistic length of the event, not the length printed on the invitation.
- Set your own serving rate. This is a planning assumption you choose. Everything else scales from it, so it is worth thinking about rather than accepting a default.
- Split the shares. They do not have to add to 100 — the tool normalises them — but the ratios between them should reflect what you expect people to reach for.
- Check the container sizes. A 16-ounce can is a third bigger than a 12-ounce one, and a 1.75-litre bottle holds well over twice a 750-millilitre one.
- Add a spare margin. Unopened bottles are often returnable; running out at nine o'clock is not fixable.
The Formula and How It Is Calculated
The starting figure is a single multiplication:
Total servings = guests × hours × servings per guest per hour
Each category takes its normalised share of that total, and the spare margin multiplies through. Converting servings into containers uses standard serving volumes and the volume of the container:
Containers = ceiling( category servings ÷ servings per container )
The serving volumes used are the ones defined by the National Institute on Alcohol Abuse and Alcoholism for a US standard drink: 12 fluid ounces of regular beer, 5 fluid ounces of table wine, and 1.5 fluid ounces of distilled spirits. Each contains roughly the same amount of pure alcohol, which is why they are the right unit for counting servings across categories. A 750-millilitre wine bottle is 25.4 fluid ounces and therefore about 5.1 servings; the same bottle of spirits is about 16.9 servings at a 1.5-ounce pour.
Mixers scale from the spirit servings alone: mixer volume = spirit servings × mixer per serving, converted into 67.6-fluid-ounce two-litre bottles. Ice scales from headcount: ice = guests × pounds per guest.
Work the loaded example. Forty guests over four hours at one serving per guest per hour is 160 servings. With a 10 percent spare margin that is 176. At a 40/30/15/15 split that is 70.4 beer, 52.8 wine, 26.4 spirit and 26.4 non-alcoholic servings. Beer at one serving per 12-ounce can is 71 cans, or three cases of 24. Wine at 5.07 servings a bottle is 11 bottles. Spirits at 16.9 servings a 750-millilitre bottle is 2 bottles. Mixers at 4 ounces a serving is 106 fluid ounces, or 2 two-litre bottles. Ice at 1.5 pounds a guest is 60 pounds.
Why Containers Never Divide Neatly
The gap between servings and shopping is where plans go wrong, and it is worth seeing the numbers. A 750-millilitre wine bottle gives five generous pours or six restrained ones — the difference across twelve bottles is a dozen servings, which is a whole extra bottle either way. Beer is the easy case because one can is one serving. Spirits are the awkward case, because a single bottle covers seventeen servings and the rounding step is therefore enormous: needing eighteen servings means buying two bottles and using one of them barely at all.
This is why the spirits line usually looks over-supplied and the wine line looks tight. It is not an error in the model, it is the granularity of the containers. If you are buying spirits for a small event, consider whether a smaller bottle size is available, or accept that most of the second bottle goes back in the cupboard.
Cases add another layer. Beer is commonly sold in packs of 4, 6, 12 or 24, and buying to the nearest case can add ten or fifteen percent to the quantity without adding to the cost per serving. Mixers, Ice and the Things That Run Out First
Ice is the item most frequently underestimated, for a reason that is easy to miss: it does two jobs. Some of it goes into glasses, and most of it goes into tubs and buckets to keep bottles and cans cold. The chilling job is proportional to how much you are chilling and how warm the room is, not to how many drinks are poured, which is why the model works from headcount rather than serving count. Outdoors in summer, expect to need substantially more than the same event indoors, and remember that ice cannot be bought once the shops are closed.
Mixers run out second. A generous pour of tonic or cola is four to six fluid ounces, so a two-litre bottle covers only eleven to seventeen drinks. Chilling matters here too — warm mixer poured over ice melts the ice, which means more ice, which is the loop that catches people out.
Non-alcoholic drinks are the third. Water in particular gets consumed at a rate that has nothing to do with the drinks plan, and it is the one item that costs almost nothing and is universally appreciated. If you take one number from this page, it is worth being generous on the non-alcoholic share rather than treating it as a residual, because it is impossible to know in advance how many of your guests are driving, pregnant, on medication or simply not drinking that evening.
Glassware, Serving Volumes and Where the Assumptions Hide
Every figure on this page depends on a pour size, and real pours are not measured. A wine glass filled to what looks reasonable in a large modern glass can easily be eight ounces rather than five, which turns a five-serving bottle into a three-serving one and blows the whole plan by 60 percent. If a plan has to hold, the practical fix is smaller glasses rather than more careful pouring.
Spirits are the same story in reverse: a free-poured measure is typically larger than a measured one, so a bottle yields fewer servings than the arithmetic says. Bar measures exist precisely because eyeballing does not work.
