The first is how many tables a guest count needs, which depends entirely on how much table edge you give each person. The second is whether the room can physically hold those tables once chairs and walking space are included. Seats per table are not looked up from a chart. They are computed from the table's perimeter and the seat allowance you choose, which is the amount of table edge each guest gets. That is the honest version of the calculation, and it means you can immediately see what happens when you go from a generous 26-inch allowance to a tight 22-inch one: the seat count changes, the table count changes, and the room either fits or it does not.

How to Use It

  1. Enter the number of seated guests. Count only people who will be sitting at a dining table. Bar-height cocktail tables, staff and performers are a separate plan.
  2. Pick the table shape and enter its dimensions. Diameter for a round table, length and width for a rectangle or a square. Measure the tabletop, not the linen.
  3. Set the seat allowance. This is the width of table edge per guest. A tighter allowance seats more people per table and needs fewer tables, at the cost of elbow room.
  4. Set chair depth and circulation. Chair depth is how far a pushed-out chair projects from the table edge. Circulation is the clear walking space behind it.
  5. Enter the usable room area to check the fit, and add spare seats if you want a safety margin on the chair order.

The Formula: How It Is Calculated

For a round table, the seating edge is the circumference: π × diameter. Divide that by the seat allowance and round down, because a partial seat is not a seat. A 60-inch round table has a circumference of 188.5 inches. At a 24-inch allowance that is 7.85 places, so seven guests. At a 22-inch allowance it is 8.57 places, so eight. That single input is the whole reason the same table is described as seating seven, eight or ten in different places.

For a rectangular table the seating edge is treated side by side rather than as a continuous perimeter, because corners are unusable. Each long side takes floor(length ÷ allowance) guests, and if you seat the ends, each end takes floor(width ÷ allowance). A 96 by 30 inch banquet table at a 24-inch allowance therefore seats four a side plus one at each end: ten in total. Turn the ends off and it is eight.

Tables needed is ceiling(guests ÷ seats per table). Chairs to order is tables × seats per table, plus any spares you add, and empty seats is the difference between chairs and guests — a number worth watching, because it is what a half-filled last table costs you in rental.

Floor area treats each table as a footprint expanded on every side by chair depth plus circulation. For a round table the occupied circle has diameter d + 2 × (chair depth + circulation) and area π ÷ 4 × D². A 60-inch round table with 18 inches of chair and 24 inches of circulation occupies a 144-inch circle, which is 12 feet across and 113.1 square feet. Eighteen of those tables need 2,036 square feet of floor before you have placed a single speaker, bar or dance floor. For rectangles the same expansion is applied to length and width and the area is the product.

Why Seat Allowance Is the Only Number That Matters

Almost every dispute about how many people fit at a table is really a dispute about seat allowance, and it is rarely stated out loud. Twenty-four inches per guest is comfortable for a full dinner service with a charger plate, a wine glass, a water glass and a bread plate. Twenty inches is workable for a canapé reception or a conference lunch where the place setting is small. Eighteen inches is what you get at a crowded wedding when the plan was made from a chart and the chairs turned out to be wider than the chart assumed.

Chair width is the trap. A banquet chair with a 17-inch seat pan is not 17 inches wide across the arms of the people sitting in it. Shoulder width, not chair width, is what fills the table edge. If you are planning a long seated dinner with plated service, err generous, because the cost of one extra table is trivially small next to the cost of a room where nobody can lift a fork.

The Room Check Is the One People Skip

A venue quotes a capacity. That capacity was calculated for some particular layout, usually the densest one the room supports, and it very often assumes no dance floor, no staging, no buffet line and no bar. The moment you carve any of those out, the usable area drops and the seating maths has to be redone against the remainder, not against the headline number.

This is why the tool asks for usable area rather than total area. Measure the room, subtract everything that is not going to hold a dining table, and enter what is left. Circulation is the part most likely to be underestimated. The space behind a chair is not decorative: it is how servers reach the table, how guests get to the bar, and how anyone leaves in a hurry. Round Versus Rectangular: What Actually Changes

Round tables use their perimeter efficiently and put everyone in conversational range of everyone else at the table, which is why they dominate weddings and galas. They are poor at tessellating: circles leave triangular dead zones between them, so a room laid out in rounds carries more wasted floor than the same room in rectangles.

Rectangular banquet tables tessellate beautifully and can be butted end to end into long communal runs, which is why they suit conferences, awards dinners and anything with a stage everyone must face. The cost is that a guest at a long table can only easily talk to four people. They also lose seats at every join: two 8-foot tables end to end seat fewer people than two standalone ones, because the joined ends disappear.

Square tables sit between the two. A 36-inch square seats one a side at a 24-inch allowance, which is four, and going to a 48-inch square still seats four because a second person needs another full allowance on the same side. That step behaviour is normal and the calculator will show it — it is a genuine property of seating in whole people, not a rounding bug.

Chairs, Spares and What to Actually Order

Order chairs against the table plan, not against the guest list. If 120 guests need 18 tables of seven, that is 126 chairs, and all 126 have to be delivered whether or not the last six are used, because a table with a visible gap in the ring reads as a mistake. The tool shows empty seats explicitly so this cost is visible before you sign a rental order rather than after.

Adding spares is worth doing when your guest count is still moving. Late confirmations, plus-ones and a supplier who needs to sit down all draw on the same pool. Two or three spare chairs cost very little; a table you cannot set costs an evening of improvisation.
