An absence rate is a ratio, not a fact about a person. It is time lost divided by time scheduled, and almost every disagreement about one comes down to the two questions this page puts in front of you: what counts as time lost, and what counts as time scheduled. Change either definition and the same records produce a materially different number, which is why the convention sits at the top of the form rather than in a footnote.

What This Absence Rate Calculator Does

It computes a group absence rate as counted time lost divided by total scheduled time, and shows the three intermediate numbers that produced it: scheduled time available across the group, time lost after exclusions, and average time lost per person. It then converts the loss into full-time equivalents, which answers “how many people were effectively missing all year” rather than “what percentage was it”.

Alongside the group figure it computes a rate for one individual on the same basis, so the two can be compared without the usual sleight of hand where a person's raw day count is set against a group percentage. The bar breakdown shows counted loss, excluded leave and time worked as shares of the same total, so nothing disappears between input and headline.

What it does not do is judge. It produces no threshold, no flag and no recommendation, because a threshold is a policy decision your organisation makes with its own legal advice, not an arithmetic result.

How to Use It

  1. Choose the counting convention. Days is simpler and is what most small employers already record; hours is more accurate where shifts vary in length or part-time working is common.
  2. Enter the headcount in scope and the scheduled time per person for the period. Scheduled time should already have annual leave, public holidays and contractual non-working days taken out of it.
  3. Enter total recorded absence for the whole group, then separately the portion your policy excludes from an attendance measure.
  4. Decide whether to apply that exclusion. Run it both ways and note the difference; that difference is the part of the number that is a policy choice rather than a measurement.
  5. Optionally fill the individual block to place one person's record on exactly the same basis as the group's.

The Formula

The core relation is deliberately plain:

Absence rate = counted time lost ÷ (headcount × scheduled time per person) × 100

Counted time lost is total recorded absence minus whatever you excluded. The denominator is the scheduled time the whole group owed in the period. Two derived figures follow directly: time lost per person is counted loss divided by headcount, and full-time equivalents lost is counted loss divided by scheduled time per person — the same loss expressed as a number of whole people rather than a percentage.

The hours convention is identical arithmetic with hours substituted throughout. The Office for National Statistics defines its UK sickness absence rate as total hours lost through sickness or injury divided by total hours, multiplied by 100, which is exactly the hours branch of this page; you can read the definition in its sickness absence in the UK labour market release. This page does not reproduce any of the figures in that release, because a national average across all industries tells you very little about one team.

Note what the formula cannot see. It has no view on whether an absence was genuine, avoidable or protected, cannot distinguish a fortnight of surgery recovery from a fortnight taken in single days, and does not know whether the work was covered, absorbed or simply not done. Each of those matters more than the percentage.

Which Absences Count — the Decision That Moves the Number Most

There is no universal definition of “absence”. Some employers count only unplanned sickness; some add unauthorised absence and lateness converted to time; some include every hour a person was not at work for any reason short of annual leave. Narrow and wide definitions applied to identical records can differ by a factor of two, which is why quoting a rate without stating the definition is close to meaningless.

Certain categories deserve deliberate thought rather than a default. Statutory family leave is a legal entitlement, and treating it as attendance failure is both unfair and, in many jurisdictions, legally hazardous. Disability-related absence is a distinct category again: in the UK, the Equality Act 2010 defines disability as a physical or mental impairment with a substantial and long-term adverse effect on normal day-to-day activities, and employers have a duty to consider reasonable adjustments, which can include discounting or adjusting how disability-related absence is treated. The official definition of disability under the Equality Act 2010 sets out the test; the equivalent concepts exist under other names elsewhere, and the detail differs by country.

The exclusion field is therefore not a rounding convenience. It is where you record a policy position, and the tool deliberately shows the rate with and without it.

Why the Denominator Is Where Most Errors Live

People concentrate on the absence figure and wave the scheduled figure through, which is backwards: the denominator is larger and its errors are proportionally invisible. Three failures recur.

The first is using calendar days instead of scheduled days. Dividing by 365 rather than by the days people were actually rostered halves an absence rate at a stroke, and is simply wrong.

The second is ignoring part-time contracts on a days basis. A person working three days a week has roughly 60 per cent of a full-timer's scheduled days, and counting them as a full head inflates the denominator and depresses the rate. The third is mid-period joiners and leavers. Someone who started in month nine did not owe a full year of scheduled days. Pro-rate them, or restrict the period to one in which the roster was stable; a rate computed across heavy churn is two populations averaged together, and the turnover calculator is the better lens.

Reading the Full-Time-Equivalent Figure

The FTE-lost number is the one that tends to change how people act. A rate of 3.8 per cent sounds small; expressed as roughly one and a half full-time people missing all period from a team of forty, the same fact reads as a capacity problem with a size. It is the same arithmetic rescaled into the unit resourcing decisions are made in, and it also stops a small team's single long absence looking catastrophic beside a large team's chronic pattern.

Short-Term Frequency Versus Long-Term Duration

The most important thing a flat rate conceals is shape. Two teams at four per cent can be in entirely different situations. One has a colleague on extended medical leave; that is a welfare and cover question, and pressure applied to it is pressure applied to someone who is ill. The other has one-day absences clustering around weekends and shift changes; that is a scheduling or workload question, and no policy about long-term sickness will touch it.

Costing Absence Without Guessing

The temptation is to multiply days lost by salary and call it the cost. That ignores overtime paid to cover, agency premiums, the productivity cost of colleagues absorbing work and the effect on service levels — and it overstates the cost where output was genuinely made up later at no extra spend.

Using the Number Without Misusing It

An absence rate is a diagnostic, and diagnostics are for asking better questions. As a management-information trend across a whole organisation it is genuinely useful: it moves, and the movement is worth explaining. As a device for ranking individuals it becomes unreliable quickly: denominators are small, one illness dominates, and the categories that ought to be excluded matter most at exactly that level.

Where absence data feeds any process with consequences for an individual, the number opens a conversation rather than concluding one. Occupational health input, an underlying condition, reasonable adjustments and the employee's own account sit outside anything this page can compute. Common Mistakes to Avoid

  • Dividing by calendar days — the denominator is scheduled working time, not elapsed time, and using the latter roughly halves every rate you produce.
  • Comparing two rates built on different definitions — a number from another company, another country or last year's policy is not comparable unless the counting convention matches yours.
  • Lumping protected leave into the total — statutory family leave and disability-related absence belong in a separate line, and merging them creates both a misleading metric and a legal exposure.
  • Counting heads instead of hours where part-time is common — it inflates the denominator, hides real loss, and disadvantages nobody except the accuracy of your own reporting.
  • Treating the percentage as the finding — the shape of the absence, not its size, is what tells you which problem you have.

This page will not tell you, and any page that gives you a single number is being careless. Acceptable levels differ by sector, country, workforce demographics, the physical demands of the job and the counting convention used. Compare your own figure to your own history on a stable definition, which is the only comparison that means anything.

Should maternity leave be included in the absence rate?

What is the full-time-equivalent figure telling me?

It converts the loss into whole people. If a team of forty loses 380 scheduled days and one person's year is 250 days, that is 1.52 people effectively missing for the entire period. It is the same information as the percentage, expressed in the unit resourcing decisions are made in.

Can I use this for one employee on their own?

You can, using the individual block, but treat it carefully. A single person's denominator is small, so one illness dominates the result, and the exclusions that matter most apply at exactly this level. An individual rate is context for a conversation, never a verdict.

Why does the tool not show a benchmark or national average?

Because published averages depend on the definition, the survey method, the country and the year, and quoting one next to your figure invites a comparison that is not valid. Does a high absence rate mean people are abusing sick leave?

The arithmetic cannot support that conclusion. High rates are produced by genuine ill health, an ageing or physically exposed workforce, poor scheduling, workload, presenteeism collapsing into longer absences, and a dozen other causes. Diagnosing the cause requires looking at the shape of the absence and talking to people.
